2.6.1 Communication with supplier
首先了解供货方的生产计划和发运计划,以日报周报的方式定期向我方通知生产进度和发运计划。根据XXXXX港码头占用情况、堆场库容,以及有可能造成船期相近等信息及时通知业主,由业主与供货方协调,优化、动态控制其发运计划。
To be aware of the production and shipment plan of supplier, whose shall be required to inform us the manufacturing progress and shipment plan in means of daily report or weekly report.  According to the occupation situation of XXXXX Port and store yard, the Employer will be given relevant information, so that the Employer, in coordination with suppliers, optimize and dynamically control the shipment plan. 
日报周报主要内容:
Main content of daily report and weekly report: 
厂家名称、管材型号及规格、重量、长度、生产及库存情况,发运计划等。
Manufacturer name, pipe model and specification, weight, length, production and stock information, shipment plan

发货通知主要内容:
Main content of consignment note: 
发货时间,起运港、目的港、船名、船型、预计抵港时间、厂家名称、管材型号及规格、重量、长度等。
Shipping time, port of shipment, port of destination, name of vessel, ship form, anticipated time of arrival at port, manufacturer name, pipe model and specification, weight, length etc. 
2.6.2 运输分包商的管理
2.6.2 Management of transport subcontractor
对运输分包商运输工具的改装、加固方式进行评价,对不符合运输规范的及时整改,并定期检查运输工具性能状况,尽量避免运输途中出现故障。中转站管理方每月月初公布当月运输计划,运输分包商根据当月运输计划准备运输工具。
The modification and fixing of subcontractor's conveyance shall be assessed. Any failure of complying with transport specification shall be corrected timely. The performance of conveyance shall be inspected regularly to avoid conveyance failure during transport as much as possible.  Transport subcontractor shall prepare conveyance tools according to the monthly transport plan of the transfer station which is to be announced at the beginning of each month. 
当完成装船(车)工作后,双方在在发运单(物资调拨单一式三联)上,签字,发货方留一联,剩下2联交与运输分包商。货物到达目的地后,中转站签字确认收货,第三联收回留底。运输分包商凭双方确认签字的出库单第二联办理运费结算手续。
After the ship (vehicle) loading is completed, both parties shall sign on the shipment documents (goods delivery sheets in 3 copies), of while one copies shall be kept by shipper keep one, and rest 2 copies shall be kept by the transport subcontractor.  Upon the arrival of goods at destination, the person in charge of the transfer station shall sign on the delivery sheet to confirm the reception of goods, and the third copied will be taken back.  Subcontractor will undergo freight settlement based on the second copy of delivery sheet signed by both parties. 
当月运输计划内容要求:
Main content of monthly transport plan: 
规格型号、长度、重量、目的地中转站名称,预计发车、发船数量、拟使用运输工具数量等。
Specification & model, length, weight, transfer station of destination, anticipated number of vehicle / ship, number of proposed conveyance. 
发运单内容要求:
Content requirement of shipment document: 
规格型号、管号、长度、重量、根数、出发地、装车时间、目的地、到达时间等。
Specification & model, pipe No., length, weight, No. of pieces, transport origin, loading date, destination, arrival date.

2.6.3.1 进口许可证办理
2.6.3.1 Preparation of import license

华译网上海译公司曾经翻译过大量有关运输分包商的管理的资料文件,Beijing Chinese Subtitling Translation Service Agency has translated many technical documents about Management of transport subcontractor.
由业主负责办理进口许可证,办理完毕后及时交与中转站管理方。如果业主未能及时提供进口许可证导致清关工作延误,由此产生的船舶滞期费由业主承担。
Employer shall be responsible for obtaining import license, which shall be timely handed over to the managing party of transfer station.  Should Employer fail to provide import license on time and consequently customs clearance is delayed, Employer shall bear ship demurrage caused by such delay. 
2.6.3.2 日报周报
2.6.3.2 Daily report, weekly report
中转站管理方每天晚7点前向业主及相关单位发送当日报,汇报当日到货、发货及中转站库存情况,并且记录当日主要工作和发生的重大事件。每周末晚7点前,向业主提交本周周报,汇报本周总到货,发货情况,中转站中转情况,工程进度情况,本周是否完成运输计划、以及下周发货计划。
Every day the managing party of transfer station shall send the daily report to Employer and relevant parties before 7 pm, reporting the information concerning goods arrival, shipping and stock at transfer station on the current day, as well as main work content and important events on the same day. Every weekend before 7pm, the managing party of transfer station shall submit the weekly report to Employer, reporting the information concerning all goods arrived within the week, transfer, project progress, whether transport plan fulfilled, as well as delivery plan for the coming week. 
2.6.3.3 定期会议
2.6.3.3 Periodic meeting
由业主牵头,定期召开中转站承包商、运输分包商和供应商等作业单位联合会议。汇报阶段性工作,重点协调解决收货、中转、发货及运输过程中遇到的困难和问题,保证管材运输物资顺利及时到达目的地。并且对运输分包商工作进行阶段性评价,不断完善考核制度,严格执行各项操作规范。
Under the leadership of Employer, joint meeting will be held periodically by transfer station contractor, transport subcontractor and suppliers.  In the meeting, the works at previous stage will be summarized, particularly any problem met in goods reception, transfer, shipping and transportation shall be solved in order to smooth arrival of pipe goods at destination.  The performance of transport subcontractor at each stage shall be assessed.
